ACADEMIA is a brand name under our solution product. It is actually an educational institution portal.

A portal in modern Information and Communication Technology is usually a web/online – based soft solution usually with the following key objects below:

  • The key objectives of Portal Project are:
  1. To facilitate the creation of the web enabled Institution.
  2. To foster industry and customer-wide communication mechanisms for the efficient delivery of business, solutions, support issues, and to deliver an online “community” to foster relationships on and off Institution.
  3. To research, select and implement an appropriate infrastructure of hardware and software to provide the portal environment.
  4. Extend the current quality control, standards of delivery and a technical framework across the Institution to ensure seamless integration between local hierarchical information and the main Portal environment.
  5. Develop a standardized content management system for the delivery of campus wide information based upon a mixed conscript subscript model.
  6. Seek to provide an extensive portal environment that can be expanded to incorporate all administrative functionalities.

HOW IT WORKS: The Portal is more like a Data Centre for as much data that the Institutions will want store/house, and as much/little that the Institution want to be seen and viewed online by those who would have been given access to it (either as administrators or parents/guardians). In the case of ACADEMIA, all of the following MAY be displayed on the portal:

  • School/institutions details: address, telephone, emails, notice board, etc
  • Students’ data: name, identification number/pin
  • Students’ record: subjects/courses, grades and scores, punctuality
  • Teachers assigned to classes/subjects/courses

  • Online assessment of pupils and students careers’ work.
  • ‘Real-time’ monitoring of progress.
  • Emails (personal and mass) to parents/guardians from schools and vice – versa.
  • Automatically generated emails upon data updates.
  • Automatic analysis and graduation of scores.
  • Serves as notice boards for your institution (where information from school can be viewed), thereby minimizing the ‘extra’ expense of printing papers and many times undelivered newsletters.
  • Long and tedious trips to institutions are minimized.

ACADEMIA SETUP PROCEDURE

A fresh academia installation can be configured by taking the following steps:

  1. LOG-IN AS ACADEMIA ADMINISTRATOR

Direct your browser to your assigned domain or website address for academia and enter the default academia administrator login.

Note*: The Academia Administrator is a special user account assigned by the school to a staff granting the individual special privileges to certain administrative functionality in the service, which is not giving to other users of academia.

  1. ADMINISTRATOR DEFAULT PAGE

Logging in with the administrator’s password takes you to the administrator’s default page. Academia automatically runs a system check and alerts the administrator of detected problems (that is expected at this stage to show that the setup procedure has not been completed). Other summary information about the default state of the system is also shown.

Summary of possible system alerts and their implication

  • “academia configuration details still reads default.” – This implies that the System Settings Page[see below] has not been edited at all.
  • “Class structure has not been defined.” or “Class structure is incomplete.” – This implies that you have not added classes and arms to the database using the Define Class Structure page.
  • “No subjects found” or “Subject list is incomplete.” – This implies that you have not registered subjects to the academia database.
  • “No staff registered.” – This implies that academic staff list was not found in the database.

At the end of the setup procedure, all the alerts would disappear indicating that academia is ready for use.

  1. SYSTEM CONFIGURATION PAGE

The next step is to edit system settings. The configurations page can be assessed in different ways, including the main navigation, while you are logged in as Academia Administrator (column on the right with groups of links). Under System, follow the ‘system settings’ link to the configuration page.

In the ‘System Configuration Page’, you have access to some customize-able features of the system:

  1. I. Name of school (e.g. Lily-White elementary school and college.) – update this value to reflect the school’s name as you want it to show in academia.
  2. II. School Registration Code (e.g. RC 123459) – leave blank if you do not want this to show.
  3. III. School’s Year Of Founding (e.g. 1970, 2000).
  4. IV. School’s Website Address (e.g. http://www.lily-white-schools.com).
  5. V. School Email Address (e.g. contact@lily-white-schools.com).
  6. VI. School Address.
  7. VII. School Contact Phones (e.g. +234-555-5555).
  8. VIII. Class Title (e.g. Basic, JSS or SSS).
  9. IX. Academia Admin Email (e.g. academia@lily-white-schools.com).
  10. X. Academia URL (e.g. academia.lily-white-schools.com).
  11. XI. Year Of Copy Purchase.

The essence of all the information is to further customize academia.

  1. DEFINE CLASS STRUCTURE

While still logged in as academia administrator, select the ‘Define Class Structure’ link from the system navigation and follow the prompts to create a class structure in the academia database.

Note*: The Class Structure defines the individual arms  and classes in the school’s class system (e.g. Class 1-3, 1-6, 1-9;  Arms A-F. )

  1. DEFINE SUBJECT LIST

Select the ‘Define Subject List’ link from the ‘system’ navigation and follow the prompts. You must enter the list of subjects all at once.

  1. GENERATE PIN

Select the ‘Generate Pin’ link from the ‘system’ navigation and follow the prompts to send emails containing account activation pin to all parents and staffs in the database, so they all can create their own login accounts and begin to use academia.
